Sustainable, document architecture for national property experts Bidwells

A major player in the UK property consultancy sector, Bidwells is a multi-disciplined firm of property consultants offering property services and consultancy throughout the U.K. Requiring high print quality and effective multisite document management, Bidwells turned to Xerox Concessionaire First Copy for a solution.

With no workflow management in place and a document system which was inconsistent over its 13 UK based offices, Bidwellsrequired a holistic view of its processes to enable a future-proof solution to be implemented.

With poor device performance, low sustainability, non-transparent contract costs and disjointed accounting capabilities, First Copycarried out a Xerox ‘Complete View’ audit as well as a physical on-site appraisal of all devices and associated software. This allowed a better understanding of internal processes and a full overview of Bidwells’ current situation, highlighted failing/under-utilised devices no rules based, follow-me-printing or smart scanning facilities and no ‘free’ recycling facility across all offices. Additionally consumable ordering and delivery was cumbersome and time consuming.

With this information to hand, First Copy was then able to work with Bidwells to create a transparent, consistent, cost efficient, multi-site, document workflow solution.

Providing a “Walk-in/Take-over” service on some of Bidwells’ existing printers, First Copy then delivered a consolidated replacement programme for all of its A3 colour multifunction devices based on the accurate utilisation audit carried out. Service is now actioned proactively through First Copy’s ‘Level 1’ Helpdesk, connected to the international Xerox mainframe, ensuring Bidwells now enjoy quality, consistent printing and document management, company-wide.
