For leading Cambridge-based Accountants PEM, quality, reliability and security were key requirements of its document management and workflow processes.  With 3 separate buildings housing over 140 office based staff, PEM needed to review its current resources and incorporate digital network capabilities to its print and document management system.

With numerous stand-alone, mono desktop printers, scanning devices and fax machines, PEM was finding it a full time job managing service, consumables and meter reads for all their different devices.  Additionally, the logistics of the devices, availability to staff and ease of use had become cumbersome due to the lack of a scan to file feature as well as the  lack of quality, consistent colour printing capabilities for members of staff producing client facing documents.

Following an audit of the current situation at PEM’s offices, First Copy worked closely with its IT team to create a robust, fully managed print and document workflow solution. This started with a consolidation of devices reducing its printers to four high quality Xerox Multifunction Devices (MFDs). Using Xerox ConnectKey® Functionality all MFDs are now fully networked and benefit from ‘Scan to File’ and fax

Fax facilities which are all accessed through personalised ‘App’ style function keys on the touch screen key pad and protection via McAfee® on-board security.  All PEM’s MFDs are now covered on a First Copy MPS service agreement which allows them to be proactively monitored and areas such as service call outs, meter reads and consumables ordering are now carried out automatically through First Copy’s ‘Level 1’ Helpdesk.

The results for PEM are:

  • Consistent, quality, colour printing from any device by any member of staff
